Hours/Status: Full Time, Non-Exempt, 235-day year
Summary:
The Bilingual Administrative Assistant is considered an essential part of the Lumin East Dallas Community School (EDCS) campus and maintains a welcoming and supportive environment for parents, students, staff, visitors, community members, and others. This position reports to the Director of Lumin EDCS and requires excellent interpersonal skills, attention to detail, and the ability to manage multiple priorities in a fast-paced reception area.
In addition to assisting the Director of Lumin EDCS responsibilities include supporting Lumin wide programs and activities such as child nutrition, enrollment, and training logistics.
Responsibilities and Duties:
- Create and maintain student files and enter data in the student information system in a timely and accurate manner.
- Track and record student attendance in the student data management system. Support and follow-up with teachers to ensure that student absences are accurate.
- Manage substitutes by keeping the sub list current, fill sub requests immediately when notified by classroom staff, and update Director on teacher and assistant absences.
- Oversee school office supplies and equipment inventory and create and maintain effective liaison with vendors and suppliers.
- Operate the phone system, take, and forward telephone calls, and relay messages to intended recipients.
- Handle school correspondence such as memos, letters, and notices.
- Write and publish weekly newsletter.
- Assist with school wide communications through School Messenger system.
- Work with parent volunteers and maintain record of volunteer hours.
- Manage enrollment within Student Services guidelines for the school year.
- Other duties as assigned.
Requirements:
- Excellent written and oral communication skills; ability to draft, edit, and proofread documents.
- Ability to plan, anticipate needs, prioritize tasks, manage multiple tasks with frequent interruptions, and work under timelines.
- Sound judgment, discretion, and tact in dealing with sensitive and/or confidential matters.
- Knowledge of office equipment such as copiers, fax machine, and laminator.
- Ability to communicate with people from diverse backgrounds; commitment to Lumin mission.
- Courteous and professional phone manner; ability to be flexible and patient.
- High-school degree with 3-5 years relevant experience.
- Experience in Microsoft Office a must; knowledge of Publisher a plus.
- Bilingual, both written and spoken, in Spanish and English required.
